The day this changes

Before

The contracts live in a shared drive, a spreadsheet and three inboxes. Someone updated the spreadsheet last spring; nobody is sure whether the hosting renewal moved when the order form changed.

A vendor auto-renews for another year because the notice date was in a calendar that belonged to a colleague who left in March.

When finance asks what the current monthly fee is on the design retainer, two people give two answers and both point at a PDF.

After

Each agreement is one record with its source documents, a named owner, the term end and the confirmed latest-notice date. The register shows which rows are confirmed and which still need a decision.

Internal reminders go to the owner well ahead of the notice date. A reminder that could not be delivered is shown as failed and reassigned, not discovered after the renewal.

The current fee reads USD 6,500, confirmed by Maya on 18 March from Amendment A1 § 2. The previous value and the clause that changed it are one click away.

Notice dates with a named owner.

The notice deadline is not the term end. Confirm a fixed date or a calendar-day rule, see the arithmetic in full, and schedule internal preparation ahead of it. Every date has an owner and a record of who confirmed it.
