Many teams already use Microsoft 365. It is reasonable to ask whether contract management can live in SharePoint, Microsoft Lists and Power Automate rather than a separate system. The honest answer is that it can, if the job is storage and a disciplined team maintains the structure.
Agreedio's planned role is narrower. It is designed around checked agreement records, source-backed fields, amendment history, named owners and internal actions. That can coexist with SharePoint. It should not be described as a live SharePoint connector in the preview stage.
1. Microsoft templates and lists are real options.
Microsoft provides ways to organise documents and structured data. A team can create libraries, metadata columns, lists and reminder flows. For a small, stable agreement book with a careful owner, that may be enough.
The weakness is usually not the brand of the storage tool. It is whether the team keeps one current, reviewed record for each agreement. If SOW-S1 and Amendment A1 sit in a folder but nobody confirms which fields A1 changed, the storage layer has not solved the current-terms problem.
- Use the tools you already have when the workflow is simple and clearly owned.
- Avoid treating a folder name as proof that the agreement is current.
- Keep source documents and structured records connected, not merely adjacent.
2. Folders and records answer different questions.
A folder answers, 'Where is the file?' A checked register answers, 'What governs now, who confirmed it, where did it come from, and who must act next?' Those are different questions, even if the same PDF is involved.
For the fictional Alder Works agreement, the folder may hold SOW-S1 and Amendment A1. The record needs the current fee, notice period, term end, owner, source excerpt and reminder state. Without that structure, Maya Okafor still has to reopen the documents when the decision arrives.
| SharePoint can hold | A checked record still needs |
|---|---|
| Signed PDFs and folders | Confirmed fields with source excerpts |
| Metadata columns | Review state and confirming actor |
| Version history | A governing baseline such as B1 or B2 |
3. Version history is not a confirmed baseline.
Version history helps show that a file changed. It does not, by itself, say whether an amendment was signed, whether it governs from a future date, or which prior fields it supersedes. That decision needs source review and a durable state change.
In the sample, B1 is the confirmed baseline after SOW-S1. B2 becomes active after Maya confirms Amendment A1's fee and notice changes. The unchanged term end keeps its SOW-S1 source. History is kept rather than flattened into the latest file.
4. Reminder flows need accountable owners.
A Power Automate flow or a list reminder can be useful. It can also keep sending to the wrong place if the owner leaves, or hide failure if nobody reviews delivery state. The product plan treats visible failure, retry and reassignment as part of the job, not polish.
A team inbox helps receipt and continuity. It is not the same as a named owner who must review the agreement and make a decision. For confidential reminders, removing a member must trigger reassignment or an exception, not another private email to a removed person.
5. The connector is planned, not available.
The Phase 2 plan is for one document-source connector, chosen from demand: Google Drive or Microsoft 365. That means a SharePoint or OneDrive connector is a candidate, not a current Agreedio feature and not guaranteed to ship before evidence supports it.
Until a connector exists, the honest workflow is file upload and export. Do not assume live sync, automatic permission repair or two-way record updates. If a Microsoft 365 connector is selected later, it should be described with its actual install, revoke, retry and access behaviour.
What this guide does not cover
This guide is not a Microsoft implementation manual, a security assessment or legal advice. It does not claim that SharePoint lacks a feature, and it does not claim that Agreedio connects to Microsoft 365 today. It explains the product boundary and the record-keeping problem.
Examples on this page use a fictional sample workspace. Nothing here is legal advice; obtain qualified advice for your own agreements.
