The latest upload does not win

The newest document is not always the governing one. A checked register must keep source choice, amendment effect and history separate.

Recency is not authority.

A recently uploaded file may be a signed amendment, an unsigned draft, duplicate evidence or the wrong version. Source recency alone should never decide the current agreement state. A person has to select the governing source and confirm its effect.

In the sample, SOW-S1 creates B1. Amendment A1 later changes the fee and notice period. The term end remains sourced to SOW-S1. The register needs to show all of that instead of saying the latest file wins.

Amendments are reviewed as diffs.

A1 is useful because it can be reviewed as a change set: monthly fee from USD 6,000 to USD 6,500, notice period from 60 calendar days to 90 calendar days, initial term end unchanged. That is more precise than replacing a summary paragraph.

Until the diff is confirmed, the prior confirmed schedule remains visible with a review-required warning. After confirmation, only the affected future actions are superseded. Already-sent reminders remain in history.

History keeps decisions explainable.

Supersession does not erase the prior state. It records that B2 replaced affected B1 fields from the amendment's effective date. That is how a future reviewer sees why the latest notice date moved from 1 August 2027 to 2 July 2027.

This matters for ordinary administration. If Dev or Priya later takes over from Maya, they need to see both the current answer and the source path that produced it.
